Mitel MiVoice Business (MCD/3300) PBX Device Import

Overview

For the system to be able to accurately record calls the device information needs to be kept up to date. There are three ways to import device information:

  1. Automatic Import
  2. Manual Import
  3. Manual Entry

The preferred option is Automatic Import as this provides the most robust link as the import is performed each day. The other options require a manual task to be performed by the PBX administrator each time a change is made to the PBX.

The information shown below is required to be configured to enable all call information to be correctly tagged.

If the device configuration is not kept up to date then some calls may not be recorded or not tagged with the correct information.

The export process can either be performed manually or automatically using FTP exports from the Mitel MiVoice Business (MCD/3300). The automatic export is only available from MCD v5.
If handsets are configured within a Multi Line or Key System configuration if any changes are made to the Programmable Keys the recorder MUST be restarted. Failure to do this will result in incorrect information been tagged against the calls.

Configuration

Automatic import

The import is a two step process, the first is to configure the FTP exports from the Mitel MiVoice Business (MCD/3300), and the second step is to configure the import into the recorder.

Configuring FTP exports on the MCD

  1. The Mitel MiVoice Business (MCD/3300) supports exporting forms to an FTP server on a predefined schedule from MCD v5.0. Only a single FTP server can be configured on each Mitel controller and this will need to be set to an FTP site that can be accessed from the system. The FTP server details on the Mitel are found on the External FTP Server form.

    The system can then be configured to automatically retrieve these forms from the FTP server and import them in bulk.

    If multiple Mitel MiVoice Business (MCD/3300) controllers are clustered then by default the Mitel External FTP Server form is shared using the SDS Distribution feature on the Mitel. This needs to be disabled for this form in order to be able to use a different FTP location per MCD as the system requires each set of forms to be saved to a different location or folder. It can be the same FTP server but the path needs to be different.

    For clarity it is suggested that the cluster element id is used within the path to identify the specific MCD controller, i.e. /MCD/CID1.To disable SDS sharing select the SDS Form Sharing form and find the External FTP Server entry on the right hand side.
  2. Click the Change button and set the Share Form With option to None.
  3. Then click Save to save this change.
  4. Once the FTP location has been configured then a new Event in the Scheduler on the Mitel MiVoice Business (MCD/3300) needs to be created for each of the Forms listed. To create a new Event, select Maintenance and Diagnostic -> Scheduler menu option from the Mitel System Administration.
  5. Click onto the Add button and then enter the title for this event and the frequency to run this export. The export is recommended to be run every night.
  6. Click onto the Activity Parameters tab.
    • Select Activity: Set this to CSV File Export Application.
    • Form to Export: Enter the name of the form to export. As you start typing the name it should be shown in the drop down list.
    • File Name: Enter a filename that will be given to this export file. The export process automatically appends specific details to this name, i.e. digitrunks_CSVExport_xarios_20120612050019.csv.
  7. Click onto Submit and the new event will be shown.
  8. Repeat this process for each of the Forms listed.

Configuring the import on the recorder

  1. To enable the recorder to be able to retrieve the FTP exported forms, from the Phone System Configuration section, select the FTP tab and configure the options shown.
    • FTP Path: Set this to the IP address or hostname of the FTP server that contains the export files. This can also include an FTP folder, for example: "myftpsite.local/myfolder/myfolder2"
    • Username: Enter the username to connect to the FTP server with.
    • Password: Enter the password to connect to the FTP server with.
    • Delete files after import: Enable this to deleted the files from the FTP server once they have been imported. This requires delete permissions on the FTP site for this user.
    • Scheduled import: Check this option to enable the imports to be automatically ran every day at the Import time.
  2. Click on Save. Once the details have been saved the system will then retrieve the configuration from the FTP site. This needs to be done for each PBX that has been configured.
  3. To import the devices again select the PBX from the Phone System Configuration section and click on the Import button. The devices will then be imported from the FTP import location for this PBX.

Manual export

The manual import is a two step process. The first is to export each form individually and then second to import using the FTP automatic import.

Export a form from the Mitel MiVoice Business (MCD/3300)

  1. To export a form from the System Administration interface on the Mitel select the View Alphabetically option as shown.This will list all of the forms in alphabetical order and then find the relevant form for each one in the Forms listing.
    This process needs to be followed to export the information from each form.
  2. When the form is shown select the Export button.
  3. This will display the Export form. Ensure that the Export Range is set to All and the File Type is set to Comma Delimited (Spreadsheet).
  4. Click on the Export button towards the bottom of the page, and select Ok to confirm the message shown.
  5. When the export is complete the web page should prompt you to save the file.
